RESERVATIONS & DEPOSITS: Reservations will be accepted on a first come, first serve basis. It is imperative that reservations be made at the earliest possible date to ensure availability of a certain tour. Reservations are tentative until deposit is received. Deposits are due five (5) days after making reservations. (Receipt will state when balance is due.)

FAMILY PLAN OR CHILDREN'S RATE: A special rate is given for children under the age of 9 when traveling and sharing a room with two adults. Half-fare does not apply to one day trips or tours with air, rail, or cruise included. Some exceptions may apply.
TOUR DIRECTOR: Each tour is fully escorted by a congenial Tour Director whose responsibility includes the handling of all tour details as well as offering complete attention to the comfort and pleasure of each passenger. If there are any special requests, they should be brought to the attention of the Tour Director on the first day of the tour.

GRATUITIES OR TIPPING: All expected tipping is included to luggage porters, bellmen, doormen, sightseeing guides and dining room waiters for meals that are included. The traditional end-of-trip gratuity to your tour director and driver(s) is not included. If you feel your tour director and driver performed well, the suggested gratuity for the tour director and driver is $1.00 each per person per day. These are usually given individually in envelopes at the end of the tour rather than the traditional passing of the hat.

TRANSPORTATION: Round trip transportation will be provided via spacious, late model motor coaches. Coaches are equipped with restroom, air conditioning, adjustable lounge seats, stereo and public address system and tinted panoramic viewing windows. When necessary pick-ups and returns may be made by way of our comfortable vans or mini buses. Group travel can be one of the most rewarding experiences of a lifetime. The benefits range from safety to lower prices to making friendships that will last a lifetime. When traveling with a group, we must accept things we might otherwise change. A sense of adventure plus an attitude of tolerance and acceptance are what make a great travel experience. Motorcoach tours are not for everyone. Physical problems or serious illness should be considered. Your ability to travel and participate in group activities should be honestly evaluated prior to making your travel arrangements. Rest stops are made approximately every 2 to 2-1/2 hours.

Fellowship Tours acts only as an Agent for tour members in arranging tour accommodations, transportation, sightseeing, admissions and restaurants. Fellowship Tours is not responsible for any loss or damages of personal property, or for injuries, expenses, or damages incurred by any tour member. Fellowship Tours and/or their leaders, in anticipating bookings for any tour, clearly stipulate that they are not liable for the faults or defaults of all companies and persons that may be used in carrying out the tour services; also for accidents, baggage losses, strikes, political unrest, riots and acts of God and war. These tours are planned a year or more in advance. Between planning time and the actual tour operation, Fellowship Tours constantly strives to improve each itinerary and all features to your advantage, convenience and enjoyment. If improvements can be made or unforeseen conditions beyond our control deem necessary, we reserve the right to vary itineraries and substitute facilities equivalent or of better value. During local or national holidays and Sundays, certain features such as museums, sightseeing tours and shopping may be limited or unavailable. In such instances and whenever possible, itinerary adjustments and substitutions are made to minimize inconvenience. Fellowship Tours reserves the right to change the itinerary of hotels as may be necessary for carrying out the tour, and to cancel any tour for conditions beyond our control, including insufficient participation. In the event of a tour cancellation, all deposits will be refunded in full. Fellowship Tours reserves the right to terminate the participation of any person whom Fellowship Tours management considers to be objectionable and who disrupts in any way the relaxed atmosphere of our tours. Our objectives are to ensure the compatibility and congeniality of all passengers and the smooth and efficient operation of the tour.

Cancellation - Motorcoach Tours: A refund will be given on most motorcoach tours when cancellations are received in reasonable time prior to departure. Cancellations should be made as soon as possible, as they result in the costly and lengthy process of letter-writing, long distance calls and record adjustments. No show, no refund. Non-recoverable expenses may be deducted also.

Cancellation - Fly Tours, Rail Tours, International Tours and Cruises: Cancellation of these tours will result in a fee. Cancellation fees will be determined by the individual air, rail, or cruise. You will be charged according to date of cancellation at Fellowship Tours.

SEATING:
Determine the location of your seat the first day of the tour. It is based on when your deposit is made. Seats are assigned as deposits are received and are rotated each day on multiple day tours. This method affords equal opportunity for each motorcoach tour member to view scenery from different areas of the motorcoach during the course of the trip. In fairness to everyone, no exception is made to our seat rotation policy; however, seating may vary when friends or relatives traveling together request to be seated together.

SMOKING POLICY: Due to confined atmosphere of motor coaches, smoking is not permitted while on board; however frequent stops are made for benefit of our friends who do smoke.

ALCOHOL POLICY: Alcoholic beverages are strictly forbidden on motorcoach.

LUGGAGE: Sturdy luggage should be used for group handling. Luggage is limited to one large bag per person. This bag will be delivered to your hotel room upon arrival and picked up the morning of departure. While great care is taken to handle your luggage carefully, nevertheless, we cannot assume liability or accept claims for loss or damage. One small flexible "Carry-On" is allowed per person. This must be small enough to get in the overhead rack above your seat. Each "carry-on" is solely under the daily care of the passenger, therefore, it is to your advantage to make it as small as possible.

FINAL TOUR INFORMATION & DOCUMENTS:
Five to seven days before your tour departure you will receive your final tour information, including your specific departure point and time, rooming list, baggage tag, hotel/motel list with phone numbers, changes in itinerary, and insurance application. Call our office immediately if your pick-up point is incorrect.

Insurance: All passengers are insured only while on the motorcoach. Fellowship Tours is not responsible for lost, stolen, or damaged articles or luggage. We recommend that adequate baggage, accident and sickness insurance be purchased. This individual trip insurance is available. Information will be sent with first receipt. The application must be mailed to the insurance company prior to departure of the tour.

Passports and Proof of Citizenship: If you have any idea that you might be needing a passport in the future, we suggest that you apply for one now. Beginning June 1, 2009 passports or passport cards are required to enter Canada and Mexico (see travel document information below). You should carry proof of citizenship any time you go outside the United States. If you have any thoughts of going abroad, better start preparing now. You may obtain the proper forms through the Clerk Of Court or at the Post Office.

Accommodations: Your highly-rated accommodations are chosen on the basis of location, cleanliness, and dining facilities, as well as the warm hospitality of their management and staff. In peak season areas and National Parks, accommodations are sometimes rustic, but afford you the opportunity to view the primitive splendor of the parks and undeveloped areas. We think you'll be delighted with our selections. Room assignments are always made by the hotel/motel in an impartial manner.

Special Requests: Special requests such as for smoking/non-smoking rooms, king-size beds, side-by-side rooms, or travel on the same motorcoach with friends, need to be made when booking your tour or at least 30 days prior to departure. We try to honor all of these requests but in some motels and locations special requests cannot always be honored.

Can I share a room? Persons traveling alone may request sharing a Twin/Double room. Making your reservations early will greatly aid us in finding a roommate. If we do not succeed, the single rate applies. Price per person will change when a roommate cancels and your accommodation type changes.

PLEASE NOTE: We must know in advance if you have a disability that prevents your independence. You must be accompanied by a travel companion that will assume full responsibility for your care and mobility.
